You can customize, add, or modify hiring stages to build a hiring process that fits your team’s workflow.

In Workstream, a hiring process is made up of stages that guide applicants from their initial application to their official hire. Each stage represents a key step in your workflow, helping you stay organized and move applicants smoothly through every phase of hiring.

When you create a new hiring process, three default stages are automatically included:

  • Application Form stage

  • Scheduling stage

  • Hiring Complete stage

Each stage serves a different purpose in the hiring process. Some stages are added by default, while others can be added later to fit your workflow.

Default stages

These stages are automatically included in every hiring process.

  • Application Form stage - Collect basic applicant information and automatically filter unqualified candidates. This stage can't be deleted or rearranged.

  • Scheduling stage - Set up interviews by defining meeting details, durations, and automated reminders.

  • Hiring Complete stage - Confirm the applicant’s hire and finalize all documents and details.


Additional hiring stages

You can add other stage types to create a more detailed and flexible hiring process.

  • Form stage - Collect additional details or files from applicants after the initial review.

  • Quiz stage - Assess applicants’ knowledge or skills using multiple-choice questions.

  • AI Phone stage - Use AI-powered phone calls to automatically screen applicants.

  • Background Check stage - Run and review background checks through integrated providers like Checkr or Sterling.

  • Review stage - Evaluate applicants and make short-term decisions before moving them forward.

  • Long-Term Holding stage - Keep applicants on file for future consideration.

  • Online Signing stage - Send and track offer letters or documents for e-signature.
