Track and manage documents

After you assign a document, track its signing progress, send reminders, and share signing links from one list.

The Documents list gives you one place to see every ad-hoc document and its signing progress across your organization — no matter which admin originally assigned it. From the list you can track who still needs to sign, send reminders, and copy signing links.

To get here, go to Team View › Documents.


Filter and sort the list

Select a document you want to view and use the filters at the bottom of the document name to find what you need:

  • Status — filter by:

    • In progress – The document has been assigned, but not everyone has completed it.

    • Completed – All required recipients have finished signing. At this point, the system automatically notifies signers.

    • Cancelled – The task was cancelled by an admin or manager, either for all recipients or for a specific person.

  • Assigned date — when the document was sent.

  • Assigner — the admin or manager who assigned the document.

Filtering and sorting by Assigned date and Assigner lets you review the full assignment history in one place.


See who still needs to sign

  1. Go to Team View › Documents.

  2. Select the document you want to review.

  3. You'll see everyone the document was assigned to, along with each person's signing status (for example, 0 of 1 signatures collected).

  4. Filter by In progress to focus on the people who haven't signed yet.

For each recipient, you can also see the completion date and who signed, or — if the task was cancelled — who cancelled it and when, which keeps a clear audit trail.


Send reminders for unsigned documents

You can send manual reminders to anyone who hasn't completed a document, on top of Workstream's automatic follow-ups.

Remind one person

  1. Find the recipient in the list.

  2. Click the three dots.

  3. Select Send reminder.

  4. Edit the reminder message if you'd like, then send. The recipient receives the reminder by email and text.

Remind everyone of outstanding (bulk reminder)

  1. Select the recipients who still need to sign by checking the boxes beside the recipient names.

  2. Select Send reminder to notify them all at once.

📌 Automatic reminders still run in the background — a follow-up after 48 hours, and one more after 72 hours (sent during local business hours, 9 AM–5 PM). Manual reminders are for when you want to follow up sooner.


Copy a signing link

Need a document signed right away or in person? Copy a direct signing link instead of waiting for the email.

  1. Find the recipient in the list.

  2. Click the three dots.

  3. Select Copy signing link.

  4. Share it through any channel — paste it into a message, or open it on an in-store iPad so the worker can sign on the spot.


Actions available on each document

  • Copy signing link — share a direct link to the document.

  • View profile — open the recipient's team member profile.

  • Cancel task — cancel the document task for that recipient.


Download, edit, or delete documents

Your documents will also appear in the Onboarding Documents list. From there, you can download, edit, or delete them.
