Q: How does Workstream Payroll handle tax payments and filings?
A: Workstream Payroll handles most federal, state, and local tax filings. Tax amounts are deducted every pay run and remitted when due. Go to the Documents tab in Workstream to view and download filed tax documents, including Forms 941 and 944.
Tax documents are accessible in Admin View › Payroll Entities › Documents tab › Tax Documents.
Q: What types of tax forms are supported by Workstream Payroll?
A: Workstream Payroll supports most common federal, state, and local payroll tax filings. This includes:
Federal forms such as 940, 941, 943, 944, W-2, and W-3
State income tax returns, withholding reports, and reconciliation forms
Unemployment insurance tax filings
Payment vouchers, when required
Select local or city-level tax filings

If you're unsure whether a specific form is supported for your state or location, please contact our Support Team.
Q: When will my annual and quarterly tax documents be available?
A: Annual tax documents are available within the first two weeks of the new year.
Quarterly tax documents are available within the first two weeks after each quarter ends.
Q: How are employee taxes calculated?
A: Taxes are based on the information employees provide during payroll onboarding, including federal and state withholdings. If employees migrated from another payroll system, their existing tax settings are transferred.
Q: Who is responsible if there’s a mistake with taxes or IRS payments?
A: Workstream Payroll (via Check) is responsible for accurately filing taxes based on the information provided. If an employer provides incorrect tax details (e.g., incorrect unemployment tax rate), they are responsible for any necessary corrections or penalties.
Q: How do I update my State Unemployment Insurance (SUI) rate?
A: State unemployment tax rates change annually, and employers are notified directly by the state. To ensure accurate tax payments, update your SUI rate as soon as you receive a new notice to avoid under- or overpaying taxes.
Q: Does Workstream Payroll handle unemployment tax?
A: Yes. During setup, new businesses enter their unemployment tax rate, while businesses migrating from another payroll system will have their current rate pulled in. Employers can update this rate if they receive a notice to do so. Workstream Payroll calculates, deducts, and pays unemployment taxes as payroll is processed. At quarter-end, Check balances tax filings. If there is an under- or over-collection, adjustments may be made before filing, including collecting additional funds if needed.
