Q: Does Workstream Payroll integrate with QuickBooks Online (QBO)?

A: Yes. The integration sends payroll journal entries directly to QuickBooks Online.

Q: Does Workstream Payroll integrate with QuickBooks Desktop (QBD)?

A: No, and no payroll software does. QuickBooks Desktop requires manual data entry since it doesn't support direct integrations. Workstream Payroll is compatible with QuickBooks Online, which is the more modern version.

Q: Does Workstream Payroll integrate with Instant for paycards?

A: Yes! Workstream Payroll integrates with Instant, which gives employees the option to receive their payroll and tips directly onto an Instant Pay Card. This card works like a debit card, allowing employees to access their pay instantly and use it for purchases, online payments, or ATM withdrawals.

General overview of how it works

  1. Employees can opt in to receive their payroll and/or tips on an Instant Pay Card through a quick form in Workstream.

  2. Once they opt in, Instant will create an account for them and send a welcome email with details.

  3. When processing payroll, the payment will go directly to their Instant Pay Card instead of their regular bank account.

Important things to know

  • Pay Files: Pay Files are the files generated by Instant to handle payroll payments to Instant Pay Cards. You’ll need to run a few payrolls with Instant to become familiar with how to use them before migrating to the integration.

Getting started

  • You'll need to sign up with Instant first.

  • Once you're familiar with their Pay Files, reach out to our Support team or Workstream POC and ask about the Instant integration.

  • From there, our team can help you migrate to the Instant integration.

Setup typically takes around 4–6 weeks. This integration is still being refined, so there may be extra steps depending on your setup.
