Finalize and submit payroll

Before you submit a payroll, take time to double-check all payment details to avoid errors. You can do this from the Draft payroll screen.

What to expect

  • All hours, time off, and earnings from your file will appear in the payroll draft.

  • Team members will be pre-filled based on your upload, including their payment methods, workplaces, rates, and amounts.

  • You can still edit add new earning items manually if needed.

  • You can still manually add contractors or employees.

💡 What to check when reviewing a payroll draft:

  • Ensure all team members are showing - If someone’s missing, quickly add them with the + Add employee button.

  • Verify hours are correct - Adjust any high or 0 hrs in the spreadsheet or fix mapping if needed.

  • Confirm earning types are accurate - Regular hours should be under Hourly or Regular Pay. Update any mismatched or blank entries.

  • Review amounts - Totals are hours × rate; correct the rate if something looks off.

  • Check time off hours - Make sure PTO/Sick leave is included by assigning the right policy.

  • Confirm payment methods - Match direct deposit, check, or cash to the team member’s setup.

  • Validate total cash requirement - Compare against usual payroll and adjust if it looks unusual.

Submit the payroll run

  1. Select Preview payroll to see a final summary of earnings, deductions, and total payout.

  2. Review the payroll run:

    1. Payroll summary: This section gives you a quick overview of the entire pay run.

      • Pay period – Dates covered in this payroll

      • Pay day – When team members will be paid

      • Approval deadline – Last day to submit this payroll

      • Total employees paid – Number of people included

      • Total contractors paid – If any are included in this run

      • Cash requirement – Total funds needed to cover payroll (select the arrow to see a detailed breakdown).

    2. Payroll breakdown tabs: These tabs let you dig into the details for each team member

      • Pay breakdown – Shows how each team member is paid, what they earned, any time off taken, reimbursements received, and their total gross and net pay

      • Taxes – Lists all federal, state, and local tax withholdings

      • Hourly breakdown – Displays hourly rate and total hours worked (for hourly team members)

      • Post-tax deductions – Includes garnishments or other deductions taken after taxes

      • Benefits – Lists employee contributions and employer-paid amounts for benefits

  3. If everything looks good, select Submit payroll.
    Note: You have a 60-minute window to re-open and edit a submitted payroll. If you don’t resubmit within that time, the payroll won’t process and will return to Drafts.

  4. Once submitted, your payroll will move to the Submitted tab with a Pending status. It will update to Completed on payday, once all payments are processed.


Edit submitted payroll

Use the following rules to re-open and edit a submitted payroll. Times are in Eastern Time (ET).

When the payroll is submitted

How long you can edit

Before 11:00 AM ET on the processing date

You can edit until 11:00 AM ET that same day

At or after 11:00 AM ET on the processing date

You have 1 hour after submission to edit, but no later than 8:00 PM ET (the final cutoff)

If you don’t re-submit within your available edit window, the payroll won’t process and will return to Drafts.
