Explore the Payroll report templates

Workstream offers a variety of payroll-related reports to help you manage and analyze payroll data.

These reports come with customizable templates, allowing you to create detailed breakdowns and organized views of your payroll information.

To access payroll reports, you can go:

  • Team View → Reporting → Reports → PAYROLL tab – best for a general overview

  • PAYROLL → Reports – best for seeing details tied to specific pay runs

💡 If you need the most detailed breakdown, like exact earnings, deductions, and taxes for each employee, check the Payroll Journal in the PAYROLL → Reports section.


Payroll report features

  • Filtering Options: Users can select filters from a list to customize the report. Commonly used filters (e.g., Payroll Status, Payday, EIN, Last Name, First Name, Email) are pre-set for convenience.

  • Pivot Table Functionality: The report uses a pivot table-like interface, allowing users to drag and drop columns to customize their view.

  • Export Capabilities: Reports can be exported immediately or scheduled for export.

  • Sorting and Column Management: Users can sort data and manage visible columns by adding or removing them from the report.

Payroll Summary

Available views

Table, By Employee, By Location, By Job Title, By Earning Rate, By Line Item, By Full/ Part Time Status

Purpose

  • Provides an overview of payroll activities for a specific period, summarizing key information about employee earnings, deductions, taxes, benefits, and other payroll-related expenses.

  • Less detailed than a Payroll Journal, focusing on high-level payroll figures rather than individual transaction details (entries are aggregated for all transactions in the reporting period).

Table, By Line Item, By Line Item & Workplace

Purpose

  • Detailed record of all payroll transactions organized by payday, helping businesses maintain accurate financial and payroll records.

  • Includes information about employee earnings, deductions, taxes, benefits, and other payroll-related expenses.

💡 For even more detailed, pay-run-specific data, including per-employee breakdowns, go to PAYROLL → Reports and download the Payroll Journal.

Table, By Location, By Primary Job Title, By Work Anniversary, By Birthday

Purpose

  • Record of employees with their status, personal details, workplace, job, tenure, and payroll setup information.

Hours

Employee List, By Month

Purpose

  • Provides a summary of total hours worked and includes additional features to help determine employee eligibility for health benefits under the Affordable Care Act (ACA).

Features

ACA Lookback Filters:

  • The Hours Report includes filters for ACA lookback periods.

  • Use these filters to analyze employee hours over a specific timeframe (3, 6, 9, or 12 months) to determine ACA compliance.

  • By default, the report opens in the By Month view. You can select a lookback period to generate a report for your desired timeframe.

Detailed Employee Information

  • Hours Worked: Total hours worked during the selected lookback period

  • Average Hours Worked Per Week: The weekly average during the selected period

  • Average Hours Worked Per Month: The monthly average during the selected period

  • Full-Time Equivalence (FTE) Indicator: A value of 1.00 or greater indicates the employee should be considered full-time during the lookback period

Purpose

  • Helps you track which team members have downloaded the Workstream US app and created an account.

Purpose

  • Helps you identify team members who are not set up with direct deposit and are instead receiving paper checks so you can easily manage paper check distribution during payroll runs.

Purpose

  • Gives you a high-level overview of each team member’s payroll details before a pay run is finalized.

  • This built-in report helps you review totals such as hours worked, gross pay, and net pay by team member.

Purpose

  • Gives you a detailed view of payroll amounts before finalizing a pay run.

  • It breaks down payroll by line items such as job title and location, helping you verify and audit every detail.

Draft Paper Checks

Purpose

  • Shows team members who are expected to receive paper checks in the upcoming payroll run.

  • It helps you verify and prepare payments for those not enrolled in direct deposit.

Purpose

  • Gives you a complete view of paid time off balances across your active team members.

  • It tracks each team member’s PTO policies, balances, and related history to help with time-off planning and payroll alignment.

Payroll Run Status

Purpose

  • Track the progress of your payroll runs. This report helps you quickly see which payrolls are in draft, paid, partially paid, or failed status so you can identify issues and take action as needed.

  • This report includes both high-level payroll run data and individual team member–level payroll items.

  • You can also view details such as whether the payroll is void, if there are warnings, approval deadlines, and payment methods.

  • Spot failed or partially paid payroll runs

  • Review payroll warnings before or after processing

  • Check which team members were included in a specific payroll run and their payment status

Payroll Run Status

Employee Offboarding

Key tabs

  • Lapsed Payments – Lists team members who haven’t been paid in over a month, sorted by how long it’s been since their last payday

  • Started, Not Paid – Shows team members who started last year but haven’t received any payments

Purpose

  • Helps you identify team members who may have stopped working but are still active in your system.

  • It highlights cases where action might be needed to offboard team members or clean up your records.

Common use cases

  • Flag team members who haven’t been paid recently and may no longer be active

  • Identify possible data entry or onboarding errors (e.g., team members added to the system but never processed in payroll)

  • Double-check if any active team members are missing from recent payroll runs

  • Clean up your records by offboarding team members who haven’t worked or been paid for an extended period

  • Prepare for audits by making sure all active team members are being paid consistently

Employee Offboarding Reports

Cash Requirement

Purpose

  • Understand how much cash is needed to cover all payroll-related payments.

  • This report helps you plan ahead by giving a breakdown of payment obligations based on payroll items, collections, payroll runs, and refunds.

  • From here, you can track the total cash required across different sources, whether it's regular employee pay, tax collections, or reimbursement-related payouts.

  • It’s helpful for finance or payroll teams that need a clear view of upcoming cash flow needs tied to payroll.

  • Confirm how much cash you need to fund upcoming payrolls

  • Check the status and expected completion dates of payments

  • Make sure you have enough in your account for direct deposits, checks, and tax payments

Draft Cash Requirement

Purpose

  • Review the expected cash outflow for a payroll run before it’s paid.

  • This report only includes payroll items still in draft, so you can confirm accuracy and fix issues before finalizing payroll.

  • It provides a preview of employee payments, employer costs, tax obligations, and refunds, all before any money moves.

  • This makes it useful for double-checking setup, especially for larger or complex payrolls.

Common use cases

  • Confirm amounts, payment methods, and timing before approving a payroll run

  • Review estimated totals for planning or internal approval

  • Identify and correct errors in draft payroll items before payment

Multiple Worksite

Purpose

  • Review employee counts across locations for a selected quarter.

  • The report shows the number of employees with earnings on the 11th day of each month in the quarter, which helps meet certain state reporting requirements.

  • It’s especially relevant for companies with multiple worksites, since some states require this information to be filed quarterly.

  • Be sure to apply the Quarter filter, as the report will not generate without it.

  • Use at the end of each quarter, if your business operates across multiple locations.

  • Use to prepare state-required filings for multi-location employers.

  • Use to get a quick snapshot of workforce distribution by state or worksite.

Workers’ Compensation

Purpose

  • Helps you track workers’ compensation details by state and classification to support compliance and reporting requirements.

Common use cases

  • Verify workers’ compensation codes and classifications across locations.

  • Review total wages and hours for compliance and insurance reporting.

  • Confirm employee and company-level details for audit preparation.

Payroll Garnishment

Purpose

  • Provides visibility into employee garnishments and deduction details for each pay period. This report helps ensure compliance with court-ordered or voluntary deductions.

Common use cases

  • Review active garnishments by employee or deduction type.

  • Verify total deduction amounts before or after processing payroll.

  • Maintain compliance with state and federal garnishment laws.


401(k)

Purpose

  • Summarizes 401(k) contribution details for employees and employers, helping you manage retirement deductions and ensure accurate reporting.

Common use cases

  • Track employee and employer 401(k) contributions across payroll periods.

  • Review deductions and employer matches for accuracy.

  • Prepare data for 401(k) plan reporting and compliance audits.
