Workstream gives managers two ways to review and act on time off requests: directly from the Time Off Request page, or from the Worker Hub shift calendar. Both methods let you approve or reject requests — choose whichever fits your workflow.
📌 To let your team request time off in Workstream, you need to set up PTO policies and assign them to your employees first.
📌 Access needed: You need the Manage time off balances permission to use the Time Off Request page. If you don't have access, reach out to your Super Admin.
Option 1: Approve or reject PTO requests from the Time Off Request page
The Time Off Request page gives you one place to see all pending and resolved requests — with search, filters, and inline approve/deny actions. This is the recommended way to manage PTO across your locations.
Review and act on pending requests
Go to Time Off Request
In the left navigation, go to Time Management, then select Time Off Request. You'll land on the Pending tab, which shows all requests waiting for a decision.Find the request you want to review
Use any of the following to narrow down the list:Search — type a team member's name in the search bar
Location — filter by one or more locations
Policy — filter by time off policy type
Date range — set a starting from/to date range
Sort — sort by start date, ascending or descending
Approve or deny the request
Each request shows the team member's name, request date, time off period, policy, and reason. Select Approve or Deny directly on the row. A confirmation toast will appear at the top of the screen once the action is complete, and the request will be removed from the Pending list.
View resolved requests
Select the Resolved tab to see a full history of all past requests. The table shows the team member, who reviewed the request, when it was reviewed, the policy, location, total hours, dates, and status (Approved, Denied, or Cancelled).
You can filter resolved requests by:
Status — Approved, Rejected, or Cancelled
Location
Policy
Reviewer
Date range
Sort — by start date, end date, requested on, updated on, requested by, reviewed by, or status
To see full details on any resolved request, click the row to open the Request details panel. This shows the request summary, policy details, time off balance history, and review details (decision, reviewer, and date reviewed).
Create a request on behalf of an employee
Managers can also submit time off requests on behalf of their team members. Select + Add new in the top-right corner of the Time Off Request page and fill in the required details. The request will be automatically approved.
Option 2: Approve or reject PTO requests from the Worker Hub
You can also manage time off requests directly from the shift calendar in the Worker Hub. Requests submitted by your team appear on the calendar, where you can review and act on them without leaving your schedule view.
To approve or reject PTO requests from your team, follow these steps:
Access Time and Scheduling settings
Go to Team View, then select Time and Scheduling.
You can also sign in directly to the Worker Hub.
Select Shift Scheduling.
If you manage multiple locations, use the location dropdown menu to select the one you want to manage at the top right corner.
Approving or rejecting PTO requests
Any PTO requests submitted by your team will appear on your shift calendar. Simply select the request, review the details, and approve or reject it accordingly. You can also click on the red flag icon to view pending PTO request.
