Instead of asking Mira the same routine question over and over, you can schedule it once and let Ask AI handle the rest. Scheduled tasks run in the background on the days and times you choose, so results are waiting for you without any extra effort.
Use scheduled tasks for anything you'd normally ask Mira repeatedly — like a weekly hiring summary, a daily check for unsigned documents, or a recurring report you don't want to remember to request.
📌 Access needed: Only HR users can create and manage scheduled tasks. Workers don't have access to this feature. If you don't have access, contact your Super Admin.
Create a scheduled task
There are two ways to set one up:
From a chat with Mira
Ask Mira what you want in plain language — for example, "Give me a report of new hires every Friday afternoon."
Mira replies with a confirmation card showing the task name, what it will do, and when it will run. Adjust any of these before confirming.
Confirm the task. It's saved and will run automatically — no further action needed.
From the Scheduled Tasks page
Go to the Scheduled Tasks page.
Select + Create task.
Describe the task and set its schedule, then confirm.

Where results show up
Every run creates a chat, just like a normal Ask AI conversation. It appears in your Recents list alongside regular chats.
Each task also keeps a run history, so you can look back at past results anytime.
Manage your scheduled tasks
From the Scheduled Tasks page, you can see all your tasks along with their status and next run time. For any task, you can:
Run now — trigger it immediately without waiting for the schedule
Pause / Resume — temporarily stop it without deleting it
Edit — change what it does or when it runs
Cancel — remove it entirely
You can also just tell Mira to change or stop a task directly in that task's chat.
Use scheduled tasks on mobile
On the Workstream US App (v2.12.7 and later), you can view and manage your scheduled tasks: see the list, open results, edit, pause/resume, run now, and cancel.
⚠️ Creating a new scheduled task is currently only available on web. Mobile creation is coming in a later phase.
What scheduled tasks can and can't do
Scheduled tasks can pull data, build reports and summaries, and monitor or remind you about things — anything that's read-only.
⚠️ Scheduled tasks can't take actions that normally require your approval, like messaging or rejecting applicants, assigning documents, or updating shifts. Since these run while you're away, that type of action is excluded for safety — you'll still need to do those in a live chat with Mira.
Scheduled tasks support both recurring schedules (specific days of the week and time) and one-off runs. Any task can also be triggered manually anytime with Run now.

No. Scheduled tasks can only do read-only actions, like pulling data or building reports. Anything requiring your approval — like messaging or rejecting an applicant — needs to happen in a live chat with Mira.
