Manager View of the Workstream Mobile App

Overview

The Workstream mobile app (Worker Hub V2) gives managers access to their team management tools directly from a phone or tablet. This guide covers the full manager experience on mobile (phone), including navigation, all available sections, and how to use each feature.

The app is available on iOS and Android.

πŸ“Œ What you see in the app depends on your role and what your workplace has enabled. Managers see additional sections not available to workers, such as Schedule, Timesheets, Team, Ask AI, and more.


Step 1: Log In

Open the Workstream app. You will see the splash screen with the Workstream logo and a Login button at the bottom.

  1. Tap Login.

  2. Enter your work email address and tap Next.

  3. Enter the verification code sent to your inbox and tap Submit.

  4. If prompted, set a new password (minimum 12 characters, at least 3 of: uppercase, lowercase, numbers, symbol) and tap Save.

  5. Enter your First and Last name and tap Finish.


Navigating the Mobile App

On mobile phones, the app uses a bottom tab bar. The tab bar contains fixed items:

  • Ask AI β€” AI assistant (leftmost tab)

  • Chat β€” team messaging (with unread badge)

  • Today β€” your daily overview (home)

  • More β€” grid of all other sections (rightmost tab)

Tap More to access a grid of additional sections: Manager Logbook, Form, Tasks, Timesheets, Time Off, Help Center, Team, and Schedule. Tap Edit in the More sheet to customize which apps appear in your tab bar β€” you can pin up to 5.

πŸ“Œ On tablets (iPad), navigation appears as a left sidebar. On phones, it is the bottom tab bar + More grid described above.

Your current location is shown in the top-right of most screens. Tap it to switch between all locations you manage.


Today

The Today tab is your home screen. It shows two main cards:

  • Today β€” shows who is currently clocked in and any shift activity for your selected location. Tap the location name in the card header to switch locations.

  • Todo β€” shows a summary of pending tasks. When all are done, it displays "All tasks complete."

A Take a quick survey banner may also appear β€” tap Give feedback to share your thoughts on the app.


Ask AI

Ask AI is a dedicated tab that lets managers ask questions about their team and operations in plain language. It covers Hiring, Team, Payroll, Time, Scheduling, and Benefits.

Example prompts:

  • "Who still has incomplete onboarding tasks at [location]?"

  • "Who joined in the last 3 days at [location]?"

Type your question in the text bar at the bottom, or tap the microphone icon to ask by voice.


Chat

The Chat tab shows all your conversations. From the main chat list you can:

  • Tap any conversation to open it.

  • Tap the compose icon to start a New chat β€” search by name or tap + New Group to create a group.

Inside a conversation, the message composer includes an emoji button, a + attachment button (Album, Camera, File, Task), and a microphone button for voice messages.

Group chats display the group name, member count, and online count. Inside group info you can rename the group, view and add members, toggle Mute all members, Pin to Top, or Leave group.


Schedule

Access Schedule from the More grid. The schedule shows a horizontal weekly view with roles as rows and days as columns. Today's date is highlighted in blue. Controls at the top include a search icon, a swap icon for shift swap requests, and a menu (three dots) for additional actions including publishing the schedule.

Shift cards show the time range (e.g., 9a-5p) and the assigned employee name. A +1 indicator appears when more shifts exist than can display in a cell. Tap + at the bottom of the role list to add a new role.

The footer shows total hours and labor cost per day. A Set targets to reduce labor cost banner may appear at the bottom.


Team

Access Team from the More grid. The Team screen shows your full roster with three tabs: Active, Onboarding, and Offboard. Use the Search bar to find a team member or tap the filter icon to narrow results. Tap the person+ icon (top-right) to add a new team member.

Manager Logbook

Access Manager Logbook from the More grid. The logbook shows a feed of all manager notes, each with the author name, date, message preview, and category tag (e.g., Incidents, Operational). Filter by Category and Location using the dropdowns at the top.

To create a new note, tap the blue + button. The New Note form includes:

  • Location β€” tap to select

  • Description β€” write your note; tap + to attach a photo

  • Confidential toggle β€” restrict visibility to managers only

  • Select Category β€” choose a category

Tap Create to save the note.


Form

Access Form from the More grid. Tap + to create a new form. Form creation is a two-step wizard:

Step 1 β€” Form information: Enter a form name, optional description, select a category, choose the form type (e.g., Basic form), and set a privacy level. Tap Next.

Step 2 β€” Form questions: Add questions per section. For each question, enter the question text, toggle Required, and select the question type (Short text, Paragraph, Checkbox, etc.). Use the + Add button to add more questions and the arrow navigation to move between sections. Tap Save on the final section.

To preview a form, tap it from the list and select View Form. The preview shows each section with its audience label (Manager or Worker). Tap Start to complete it yourself, or Assign to someone else to delegate.


Tasks

Access Tasks from the More grid. Tap + to create a new task. The New task form includes a task title (required), optional description, photo attachment, and an optional form attachment. Tap Next to proceed to the Assign to employees screen.

The assignment screen shows your current location with a Switch location link. Search by name under the Employees tab, or switch to the Groups tab to assign to an entire group. Tap a name to assign the task.


Timesheets

Access Timesheets from the More grid. The TimeSheet screen shows employee time records for the selected location and pay period. Use the location switcher (top-right) to filter by location. Each row shows the employee name, role, date, total hours, regular hours, OT/Double OT hours, clock-in to clock-out times, and break count. A flag icon with a badge highlights entries requiring attention.


Time Off

Access Time Off from the More grid. The Time off request screen has two tabs:

  • Pending β€” requests awaiting your approval or denial

  • Resolved β€” actioned requests showing employee name, hours, time off type, date, and status badge: Approved (green) or Denied (red)

Tap a request to review details and take action.


Frequently Asked Questions

Q: How is the mobile phone layout different from the iPad layout?

A: On a phone, navigation uses a bottom tab bar with Ask AI, Chat, Today, and More. On an iPad, navigation is a left sidebar with all sections listed vertically. The features are the same β€” only the layout differs.

Q: How do I access Schedule, Team, or Timesheets on my phone?

A: Tap the More tab (bottom-right grid icon) to see all available sections. You can also pin your most-used sections to the tab bar by tapping Edit in the More sheet.

Q: How do I switch between locations?

A: Tap the location name in the top-right corner of any screen (e.g., ClubOffice). A picker will appear listing all locations you manage.

Q: How do I publish a schedule on mobile?

A: Go to More β†’ Schedule. After setting up shifts, tap the three-dot menu at the top-right of the Schedule screen to find the publish option.

Q: How do I approve a time off request?

A: Go to More β†’ Time Off. Open the Pending tab, then tap a request to approve or deny it.

Q: What can I ask Ask AI?

A: Ask AI covers Hiring, Team, Payroll, Time, Scheduling, and Benefits. Try questions like "Who still has incomplete onboarding tasks?" or "Who joined in the last 3 days?" You can type or speak your question.

Q: How is the manager view different from the worker view?

A: Managers can access Schedule (create and edit shifts), Ask AI, Team, Timesheets, Manager Logbook (create notes), Form (create and manage forms), Tasks (create and assign), and Time Off approvals. Workers only see their own schedule, time clock, payroll, and personal time off.
