Whether you’re manually adding applicants, refining search results with filters, or exporting applicant data for reporting, these features help streamline the hiring process.
You can manually add applicants to a specific job posting by entering their details in the system, search or filter for applicants using criteria like status or interview progress, and export applicant data in various formats, share applications via email, or download them as PDFs for printing.
You can also move applicant(s) to another hiring stage or position to keep your applicant pool up to date.

Adding applicants manually
Go to the Applicants tab in Team View.
Click the All Job Postings menu, then select the position you wish to add the applicant to.
Select Add Applicant and enter the required details.
Click OK. A confirmation message should appear.

Applicants will only appear if you are in the correct tab in the Applicants tab
In the Team View, click on the Applicants tab.
Click in the Search box. You can search by:
Basic Information
First name, Last name, Email, Phone number
Application Details
Position title, Location name, Source (e.g., Indeed)
Hiring Process Information
Stage name, Interviewer name (if scheduled), Status/Progress
Resume Details
Address (City & State), Previous job titles, Responsibilities, Skills
Once the applicant is found, click on their name for their application to appear.
Once inside the application, you have several options to manage the applicant.
How search works
The search bar scans both applicant profiles and resume content to return results.
Details | Description |
Exact keyword matching | The system only finds resumes that contain the exact words you enter. It does not support fuzzy search or variations. |
Search matches across all fields | The system looks for the search term in both the applicant's profile (e.g., first name, last name) and their resume (e.g., skills, past job titles).
e.g. when you search for a term like “cook,” the search will also return results for applicants with job titles like “line cook” or “cook/chef” in their resume. |
Best file formats | PDFs, Word documents, and plain text resumes work best. Graphic-heavy or highly formatted resumes may not be processed correctly. |
Manual uploads | Resumes uploaded manually will still be scanned and searchable. When you click on a resume, it will open in the right panel with search results highlighted. If you don’t see the expected results, try refining your keywords. |
Filter for applicants
Go to the Applicants tab in Team View.
Click the Filters button. A panel will appear on the right-hand side.
Note: To filter for a specific position, click on the All Job Postings drop-down menu and select the position.
Within this panel, you’ll have three filter categories:

Applicant Status | These options help you filter applicants based on the status of their application. Options include:

Interview Status | This option lets you filter applicants by status, including Upcoming, Unscheduled, No Show, and Completed. Only those in the Interview stage of the hiring process will be shown. |
Score format | The visibility of applicants depends on the scoring format used for feedback. Only those who have received feedback can be filtered. |
Applicant Tags | This option appears if you have added applicant tags and filters based on those tags. |
Questions | These filters let you sort applicants based on responses to certain questions. Only Multiple Choice, Checkboxes, and Dropdown question types are available for filtering. |
Export, share, or print application
Export applications
📌 An email containing a download link to the file will be sent to your registered email address. Please make sure you check your inbox and spam folders after clicking Export. This download link will expire in 7 days for your security.
In Team View, click the Job Postings tab.
Click the three dots (•••) beside the Job Posting you wish to export applications, then click Export applicants.
A pop-up should appear prompting you to specify your preferences for the data export.
Choose whether you wish to export Recent applicants or to Filter the data further.
Tip: Filtering allows exporting to work faster because you’ll be given additional options to choose such as date ranges on the application date in order to have an exact validation point.
Select the Export type in any of the following formats: Excel , CSV , or JSON.
Select additional Options that you wish to add in the exported file. This can either be signing requests, attachments, or even the applicant’s profile as PDF.
Once done, click Export.
Share or print application
Switch to team view.
Go to Applicants.
Select the stage where the applicant is currently on.
Search for the name of the applicant.
Here are two ways to share or print out applications:
Single application: Select the three-dot menu (•••) next to their name, then select Share applicant or Print applicant
Multiple applications: Select the checkboxes next to their names. Then select Actions ▼ and Share applicant or Print applicant
Share the application: Enter the email of your recipient(s), subject, and message. Then select Send email.
Print the application: Your browser will download it as a PDF file. Simply open the file, then select Print 🖨️.
Move applicant(s)
There are two ways you can move applicants – either to another hiring stage, or to another position.
Find the applicant(s) you want to move.
Note: If you need help finding the applicant(s), go to the Search or filter for applicants accordion in the Managing applicants section above.
To move the applicant:
Single applicant: Select the three-dot menu (•••) next to their name, then choose Move to stage or Move to another position.
Multiple applicants: Select the checkboxes next to their names, then choose Actions ▼ and select Move to stage or Move to another position.
Select the hiring stage, position, and location you want to move the applicant(s) to.
Click Preview notification to review the changes, then click Close if everything looks correct.
Note: (Optional) To disable notifications, toggle off Send automated notifications to applicant(s).
Select Move to finalize the change.
