Use the Hiring Dashboard

Monitor hiring performance in Workstream with the Hiring Dashboard. View applications over time, track conversion rates, and compare applicant sources.

The Hiring Dashboard gives you a real-time look at your recruitment pipeline. With refreshed data every six hours, you can track applications, measure conversion rates, and see which sources deliver the best hires.

With this article, you’ll learn about the key features of the Hiring Dashboard, and how to use it to optimize your hiring process.


The Hiring Dashboard is located in Team View ›​ ReportingReportsHiring.


Updated data and filters for key insights

Check the latest data

At the top of the dashboard, see when the data was Last Updated to ensure you're working with the latest information. The data is synced every six hours.

Filter your dashboard view

Before diving into the data, you can narrow down your view using several filters:

  • Time Range: Choose a specific time range or set custom start and end dates to look at data within a particular period

  • Location: Filter the data based on where applicants are located

  • Job Title: See data for specific job positions by applying the job title filter

  • Applicant Source: Filter by the source of the applicants (e.g., manually added, job boards like Indeed, etc.)

Key metrics

At the top of the Hiring Dashboard, you’ll see three key performance indicators (KPIs):

  • # of Applications: Shows the total number of applicants in the selected time range

  • Overall Conversion Rate: Displays the percentage of applicants who moved through each stage of the hiring process, giving you a sense of how well your recruitment efforts are working

  • Average Time to Hire: This shows how long, on average, it takes to hire someone from the moment they apply to when they are hired

Application summary over time

The Application Summary Over Time shows a line graph that tracks the number of applicants during a selected time period, categorized by their application status.

  • New Applicants: Shows the total number of new applicants who applied during the selected time period

  • Hired: Displays how many applicants were hired during that same time range

  • Rejected: Shows how many applicants were rejected during the selected period

  • Use filters to refine the displayed data

  • Analyze trends to spot peaks or dips in applicant activity

  • Hover over any point on the graph to view the exact numbers for that time period, broken down by hired, new applicants, and rejected applicants

  • To download the data, click the three-dot menu in the upper-right corner of the table

Applicant source breakdown

Here, you can see where your applicants are coming from. This section helps you understand which sources (e.g., job boards, referrals) are bringing in the most applicants and which ones lead to the highest number of hires.

  • Applicant Source: The source from which the applicant applied (e.g., manually added, Indeed, etc.)

  • Total Applications: The total number of applicants from each source

  • In Progress: Shows how many applicants are still in progress for each source

  • Rejected: Displays how many applicants from that source were rejected

  • Hired: The number of applicants from each source who were hired

  • % Hired: The percentage of applicants from that source who were hired

  • Use filters to narrow down data based on location, job title, or applicant source

  • Look for patterns in the source breakdown to identify which sources bring in the most successful applicants

Hiring funnel

This section provides a visual representation of the hiring process, showing how candidates move through each stage of recruitment.

  • Stages: Tracks applicants through each stage of the hiring process, such as Applied, Scheduling, Interview Confirmed, Interview Completed, and Hired. If you have multiple interview stages, only the first occurrence of each stage type will be used in the calculation

  • Conversion rate: The graph shows the number of applicants at each stage and the conversion rate between stages. The conversion rate within each hiring stage is calculated by dividing the number of applicants who advance to the current stage, by the total number who started in the previous stage

  • Hover over the bars to view the specific details for each stage, including conversion percentages and the number of applicants

  • Track where applicants are dropping off to identify stages that may need improvement

Conversion rate

This table provides conversion metrics for each stage of the hiring process, helping you track the progress of applicants through the different stages.

  • Stages Tracked: Conversion rates and other key metrics are shown for each stage of the hiring process: Applied, Scheduling Stage, Interview Confirmed, Interview Completed, and Hired

  • Metrics Provided: For each stage, the table shows:

    • Overall Conversion Rate: The percentage of applicants who moved from one stage to the next

    • # (Number of Applicants): The number of applicants at each stage

    • Time Taken (Days): The average time applicants spend in each stage

    • %: The conversion percentage between stages

  • Look at how long applicants stay in each stage to see where things can be sped up

Applicant source conversion rate

This table tracks conversion rates for each applicant source across all stages of the hiring process, helping you evaluate how well different sources contribute to successful hires.

  • Applicant Source: The source from which each applicant applied (e.g., Indeed, LinkedIn, etc.)

  • Stages Tracked: Shows conversion metrics for each stage: Applied, Scheduling Stage, Interview Confirmed, Interview Completed, and Hired

  • Metrics Provided: For each source and stage, the table shows:

    • Overall Conversion Rate: The percentage of applicants who advanced from one stage to the next

    • # (Number of Applicants): The number of applicants at each stage

    • Time Taken (Days): The average time applicants spend in each stage

    • %: The conversion percentage for each source at every stage

Custom hiring stages

If your organization has defined custom stages (e.g., Quiz, Forms, Long Term Review), the Hiring Dashboard shows how candidates move through those as well.


From here, you'll see:

  • Funnel view across custom stages

  • Conversion rates at each step

  • Time spent in each stage

This makes it easy to measure how your unique process is performing.
