Selecting a prospect’s name opens the detailed Profile Panel, where you can review their history and take action.
Understand the prospect's profile
The prospect's profile provides essential insights to determine if reaching out is appropriate. You can quickly assess a prospect's potential by reviewing their application history and also assess their preferred shift availability. Here’s how to navigate a prospect’s profile:
Action Menu: Select the three-dot menu (•••) to open the action menu, where you can convert a prospect to an applicant or remove them from Talent Network
Tags: Narrow your search using smart tags based on data from Hiring and Team Management, so you can identify prospects with specific attributes
Preferred Shift Availability: Check if a prospect is available for the shift you're hiring for, helping you focus on prospects who meet your needs
Last Application: View the prospect's most recent application
All Past Applications (#): Review all of the prospect's submitted applications, including both ongoing and closed ones
Past Activity: View previous interactions with the prospect, such as invitations to apply or conversions into applicants
Review resume and application history
To view a prospect's application history and resume (if available), simply select the 📄 paper icon next to their name. Here, you can:
Review the resume – Check the prospect’s work experience, skills, and education.
Assess work history – See if they’ve applied before and track past application outcomes.
Evaluate availability – Confirm if they match current job requirements based on shift preferences and weekly hours.
Download the resume – Open the attached file for a detailed view of qualifications.
Note that if a prospect doesn’t have a resume uploaded or the file type isn’t supported for preview, here’s how it will appear:
If the prospect doesn’t have a resume uploaded, the resume section will appear blank.
If the file type isn’t supported for preview, you can select "Download Resume" to open and view the file on your device.
Invite prospects to apply
Once you've identified suitable prospects, here's how to send them a text or email invitation to apply to your job openings. You can customize the outreach email to reflect your brand and culture.
Select the checkbox next to the prospects you want to invite. Then select Invite all to apply.
Invite them via email or text.
Select the job posting you want to invite them for.
Compose your message and use predefined merge tags to personalize your invitation.
(For email invitation) You can change the email subject, heading, and cover image. Use an image from your career page or the default Workstream image.
Select Review to make sure everything is correct, then Send invitation.
Convert prospects into applicants
Converting a prospect into an applicant automatically transitions them to the Application stage of your hiring process, where you can proceed to process their application. This is helpful if they've shown interest after meeting in person, making it easier to start the application without needing them to fill out everything again. Here’s how to convert a prospect into an applicant:
Find the prospect in the list, then select the three-dot menu (•••).
Select Convert to applicant.
Select a job posting for this applicant, then Confirm.
Once a prospect becomes an applicant, they’ll be moved to the Applicants page in Hiring and marked with an icon for easy identification. They will also be removed as a prospect once they are marked as hired.
Remove prospects
To remove a prospect from Talent Network, follow these steps. Keep in mind that this will not delete their data from Hiring or Team Management.
Select the checkbox next to the prospects you want to remove.
Select More actions, then Remove prospects.
