The Prospects list helps you search, filter, and manage past applicants or team members who may be a good fit for your job openings. This section guides you through navigating the Prospects list and understanding its key features.
Select View all prospects.
This will bring you to the Prospects page:
Search for job postings and resume keywords: This is where you can filter prospects based on job roles and resume content
Filter and sort prospects: This is where you can use the filters (Availability, Location, Tags, etc.) to narrow down your search
Understand the prospects table: This is where you can view and manage prospects, and see their information at a glance
Name – Shows the prospect’s full name
Type – Indicates whether they are a former team member, applicant, or currently in progress
Location – Shows the location where the prospect applied or worked
Past Applications – Lists jobs the prospect previously applied for
Last Activity – Shows recent interactions, such as Not contacted or Manually converted to applicant
Preview a prospect's profile: This is the prospect's profile. Selecting a prospect’s name opens the detailed Profile Panel, where you can review their history and take action
Find prospects
The Find Prospects tool helps you search for qualified prospects from your past applicants and team members. You can filter prospects based on job postings, skills, and other criteria.
Select Find Prospects.
A pop-up window will appear, allowing you to refine your search:
Which job posting are you looking to fill? - Choose the job you want to fill from the list of available job postings.
Any specific keywords you want to search resumes for? - Enter relevant job titles, brands, skills, or keywords in the search bar. You can search for:
Prospect personal information (e.g., name, contact details)
Education
Past job titles and employer names
Past work experience and responsibilities
Certifications
Languages
Advanced search - Refine your results further
Availability: Filter prospects based on their preferred work schedule (Weekday, Weekend, Morning, Afternoon, or Evening)
Distance: Prioritize prospects closest to your job location using clear distance ranges — from 5 miles to 50 miles
Location: Narrow your search by locations where prospects have previously applied
Tags: Use system or custom tags to categorize applicants (e.g., Spanish Speaking, Rehire Eligible, Has a Driver’s License)
Type: Filter by employment type (Former team member/applicant, In-progress applicant)
Last applied date: Find prospects based on their most recent job application
Activity: Search for prospects based on recent engagement in the Talent Network
Select Find.
After selecting your search criteria, the results page displays a list of matching prospects. Each prospect includes details like their name, application history, location, and resume match score. You can use filters to refine the results further or take action by contacting prospects directly.
Searching resumes
When an applicant submits a resume, the system scans it and pulls out key details like job titles, skills, and past employers. You can search for prospects by entering specific keywords related to the role you’re hiring for. Here's what you need to know about resume search:
Exact keyword matching – The system only finds resumes that contain the exact words you enter. It doesn’t support fuzzy search or variations
Best file formats – PDFs, Word documents, and plain text resumes work best. Graphic-heavy or highly formatted resumes may not be processed correctly
Ranking results – Results are ranked based on how many of your search keywords appear in a resume, not how many times each keyword is repeated
Manual uploads – Resumes uploaded manually will still be scanned and searchable
If you don’t see the results you expect, try adjusting your keywords or adding more specific terms.
Review recommended job postings
The recommended job postings section highlights job postings that may need immediate attention. These recommendations are based on real-time hiring data. Selecting a job posting takes you directly to the Find Prospects tool with the job pre-selected, allowing you to quickly search for potential prospects.
Types of recommended job postings
Recently Published 🟢 – Job posting was created or updated within the past week
Low Applicants ⚠️ – Job posting has fewer than five applicants
Applicant Volume Trending Down 📉 – Job posting has received fewer applicants compared to the previous week
Understand smart tags and user tags
Tags help you track and manage qualified prospects efficiently. Workstream offers two types: smart tags and user tags, sourced from both the Hiring and Team Management products. These tags provide key insights into past applicants and team members, which can help you fill roles faster.
Smart tags
Smart Tags are system-generated labels that highlight key details about applicants and former employees.
Rehire Eligible: Former employees you’ve marked as eligible for rehire
Spanish Speaking: Applicants who applied using the Spanish application form
Weekday Availability: Applicants who indicated a preference for morning, afternoon, or evening weekday shifts in their most recent application
Weekend Availability: Applicants who indicated a preference for morning, afternoon, or evening weekend shifts in their most recent application
Likely to Show Up for Interview: Applicants with a history of attending 50% or more of their scheduled interviews
Has Driver’s License: Applicants who confirmed they have a driver’s license through a screening questionnaire
User tags
User tags capture additional insights about applicants or team members, gathered during interviews or the offboarding process. These tags offer a more personalized view of prospects or team members.
Applicant Tags: Insights collected during the application or interview process
Team Member Tags: Information gathered during offboarding
Capture passive applicants to Talent Network
Not every visitor on your career site will apply for a job right away, but that doesn’t mean they’re not interested. The Passive Applicant feature lets you collect contact details and resumes from these visitors, so you can grow your Talent Network and reach out when new roles open up.
A passive applicant is someone who visits your career site but doesn’t apply to a specific job. With this feature, you can capture their details and keep them in your pipeline.
This lets you:
Build a strong talent pool: Fill roles faster by tapping into warm leads who’ve already expressed interest.
Reduce time-to-hire: No need to start from scratch. Reconnect with people you’ve already engaged.
Stay proactive: Don’t wait for a position to open—start building a pipeline today.
Enable the passive applicant banner in your Workstream career site
By default, this feature is turned on for all Workstream career sites. If you prefer not to collect passive applicants, you can turn the banner off at any time.
Go to Admin View, then find Sourcing. Select Talent Network, then toggle Enable passive application banner on or off.
When enabled, the banner appears below your job listings. Visitors can submit their name, email, phone number, and resume without applying to a specific job.
Track passive applicants
Once someone submits the form, their details appear under Talent Network in Team View, clearly labeled as Passive applicant. You can:
Filter or search passive applicants like any other prospect
View their resume and contact details
Reach out when a job becomes available
