Connect and set up Paychex Flex

Connect Paychex Flex with Workstream to sync employee data seamlessly and simplify your onboarding to payroll process.

Connecting Paychex Flex with Workstream ensures a smooth data flow between your onboarding and payroll systems.

Once the integration is set up, new hire details collected during onboarding are sent from Workstream to Paychex Flex, keeping your payroll records accurate and up to date without manual effort.

Connect Paychex Flex to Workstream

You connect Paychex Flex by adding the Paychex task to an onboarding process and entering your Paychex Company ID.

  1. In Admin View, go to Team Management ā€ŗ Onboarding ā€ŗ Onboarding Processes, then create or edit a process.

  2. In Select tasks, choose Paychex, then select Continue.

  3. In the Paychex setup step, select Add a new company and enter your Paychex Company ID.

    If you have more than one Paychex company (for example, one per tax entity), add each one, then choose which company this onboarding process should use.

  4. Finish setting up the process and select Save.

If Paychex hasn't granted Workstream access yet, the company shows as Pending ("Pending Paychex approval (it can take 1 to 3 days)"). Workstream checks automatically and updates the status once access is granted.

Approve Workstream in Paychex Flex

Access is granted on the Paychex side. Hereā€™s how to turn on Workstream within Paychex Flex.

  1. Sign in to Paychex Flex.

  2. Go to āš™ļø Settings, then select Integrated apps.

  3. You should see the Workstream app with an "Access Requested" notice.

  4. Turn on the Workstream app.

  5. Review and agree to the legal notice.

  6. Select Save.

What's sent to Paychex Flex

Data is sent one way, from Workstream to Paychex Flex, when a reviewer completes the Review Paychex form step for a new hire. This creates the new worker in Paychex Flex with their details, such as name, contact information, birth date, SSN, address, emergency contact, hire date, employment type, pay, and federal tax elections.

āš ļø Direct deposit information isn't sent to Paychex Flex.
