Manage new hire's onboarding progress

See how to check new hire progress, fix issues, resend or regenerate onboarding links, and update onboarding tasks in Workstream.

Once a new hire's onboarding has started, you can use the Onboarding tab in Team View to see how they're doing and manage any issues.

To help protect new hires' personal information, onboarding links now expire automatically 14 days after they're sent. If a link expires, you can regenerate a new one at any time.

As a manager, you can:

  • Check where each new hire is in the process

  • Fix issues the system flags

  • Resend or regenerate onboarding links if someone gets stuck or their link expires

  • Restart specific tasks if information needs updating

  • Restart, stop, or switch the onboarding process if needed

The steps differ depending on your version:

  • Classic version: Has a dedicated Onboarding tab.

  • New version: Onboarding is part of the Team tab.


Track onboarding progress

You can track a new hire's onboarding progress to see which tasks are completed and pending.

Classic version

In Team View › Onboarding › Overview › In progress, find the employee and select View tasks.

New version

In Team View › Team › Onboarding tab › In progress, find the employee and hover over the progress bar to see a breakdown of tasks.


Resend or regenerate an onboarding link

📌 Access needed: Regenerating an onboarding link requires Manager or Admin access. If you don't have access, contact your Super Admin.

If a new hire hasn't started onboarding or lost their link, find them in the In progress list and select Share Onboarding Link, then Send message.

If a new hire's link has expired, use the same steps to regenerate their link instead. Regenerating immediately invalidates the old link — only the newest link will work, even if the old one hadn't expired yet.

Employees can't request a new link themselves — if their link expires, they'll need to reach out to you or another manager/admin to get a new one.


What happens when a link expires

If a new hire tries to open an onboarding link after its 14-day window has passed, they'll see a clear message letting them know the link has expired and that they should contact their manager for a new one.

⚠️ If the employee had already entered some information before their link expired, that progress is saved. Once you regenerate their link, they can pick up where they left off.

To help avoid links expiring unexpectedly, Workstream automatically emails both the employee and the assigned manager as the expiry date approaches, as a reminder to complete or follow up on onboarding.

💡 This expiry window only applies to onboarding links generated after this update. Links that were already sent before the update won't suddenly expire.


Restart tasks

If incorrect details were entered, find the new hire, select the task you want to restart, and select Restart.


Stop or change the onboarding process

Find the team member in the onboarding list, select the three-dot menu •••, then choose Stop process or Change process.


Frequently Asked Questions (FAQs)

Do onboarding links that were already sent before this update also expire in 14 days?

No. Only onboarding links generated after this update went live carry the 14-day expiry.

Can an employee request a new link themselves if theirs expires?

No, not yet. Only a Manager or Admin can regenerate a link on the employee's behalf.
