Track and reverify expired Form I-9 documents

Track and reverify expiring I-9s in Workstream by filtering your team list, setting reminders, and completing Supplement B.

Use the Team tab to find team members with expired or soon-to-expire I-9 documents. Turn on weekly reminders to track expiring documents, and complete Supplement B to reverify or rehire team members when required.

📌 You’ll need Edit worker records permission to reverify documents. If you don’t have access, contact your Super Admin.


​When you have pending Form I-9 documents that need reverification, you'll see a banner at the top of the Team tab and the team member's profile, prompting you to reverify.

Filter team members with expired or expiring I-9s

Quickly find team members who need reverification using filters in the Team tab.

  1. In Team View, go to the Team tab.

  2. Select All Filters.

  3. Select a filter option from the With expiring I-9 documents menu:

    • Expired and expiring within 90 days

    • Expired

    • Expiring within 90 days

When you have team members with pending I-9 reverification, you’ll also see a banner at the top of the Team tab and on their profile page.

Reverify I-9s by completing Supplement B

If an employee’s work authorization document has expired or they’re being rehired, you’ll need to complete the Supplement B, Reverification and Rehire form.

📌 You can only view and edit team members from locations you have access to. If you can’t see someone in the list, check your assigned location or contact your Super Admin.

Open the form

Option 1: Use the "Reverify I-9" button

Workstream automatically shows the Reverify I-9 button when it detects an expired or expiring document.

  1. Go to the Team tab in Team View.

  2. Look for a blue banner at the top that says, X active team members have expired or expiring I-9 documents and require reverification.

  3. Select View team members in the banner. This filters the list to only show affected team members.

  4. Look for the Reverify I-9 button next to their name. This takes you directly to the Supplement B form.

Option 2: Use the Action menu (•••)

You can also access Supplement B from the action menu (⋯) next to any team member, even if they’re not currently active. Since Supplement B is also used for rehires, this option is available across all statuses in case you're bringing someone back or correcting past I-9 issues.

Use this method if:

  • The Reverify I-9 button doesn’t show

  • You’re rehiring someone who was previously offboarded

  • You need to update an employee’s I-9 outside the automated prompt

To do this:

  1. Go to the Team tab in Team View.

  2. Find the employee in the list.

  3. Select the three-dot menu (⋯) next to their name.

  4. Select Fill in Supplement B.

⚠️ If a team member needs to be reverified, they need to provide an acceptable document from either List A or List C to confirm their continued employment authorization. For more information on completing the form and reverifying expired documents, visit USCIS.gov.

After opening the form, fill it out as follows:

  1. Employee name

    1. Add the Date of rehire if you’re rehiring. Leave it blank if you're just reverifying.

    2. Update their name if there was a legal name change.

  2. Document details

    1. Select the Document title from the dropdown.

    2. Enter the Document number and Expiration date (if shown).

    3. Enter the full name of employer or authorized rep.

    4. Enter Additional information if needed.

    5. Check the box if you used a DHS-approved remote inspection method.

    6. (Optional) Select ⨁ Add another document to include up to two more.

  3. Finish and sign

    1. Select Next to review your entries.

    2. Confirm that the documentation appears genuine and the employee is authorized to work.

    3. Select Next, then sign and submit the form.

You can download the completed form from:

  • The team member’s profile

  • Their I-9 module in Onboarding
    ​


Set up weekly reminders

You can receive weekly emails or texts listing team members with I-9 documents that are expired or expiring within 90 days.

📌 Once set up, we'll send you a reminder to reverify documents along with a list of affected team members. We'll also remind them via text/email to bring their documents to you for verification before they expire.

  1. Select your profile at the top-right corner.

  2. Select Account settings, then go to Notifications settings.

  3. Go to the Team tab.

  4. Find the event A weekly reminder of active team members with I-9 documents expired/expiring in the next 90 days.

  5. Turn on the Email or SMS switch.
