Make changes to your team members' data & status

Manage your workforce in one place with Active, Onboarding, and Offboarded tabs to track progress, fix issues, and keep records accurate.

The Team page in Workstream organizes your workforce into Active, Onboarding, and Offboarded tabs. Each tab provides tools to track progress, resolve payroll or compliance issues, and export records.

This makes it easy to manage employees at every stage of their journey, from new hire to exit.


Change a team member's status (Active or Offboarded)

Sometimes, you might need to change a team member’s status yourself. Here’s when and how to do that:

Make team members active

You can manually mark someone as Active from the Onboarding tab. This is useful if:

  • They've completed onboarding outside of Workstream.

  • You’ve confirmed all required documents and steps are done.

⚠️ Before marking someone as Active, make sure they’ve completed all onboarding requirements. If you use Workstream Payroll, missing info (like payment details or tax forms) could prevent them from being paid on time or cause payroll errors.

  1. Go to the Team tab

    1. In Team View, go to Team.

    2. Go to the Onboarding tab.

    3. Find the team member you want to make active.

  2. Making team members active

    • Updating a team member

      1. Select the three-dot menu ••• on their row, then Mark as active member.

    • Updating multiple team members

      1. Select the boxes next to the team members you want to make active.

      2. From the Bulk actions dropdown menu, select Update status to Active.

Offboard team members

  1. Go to the Team tab

    1. In Team View, go to Team.

    2. Go to the Offboarded tab.

    3. Find the team member you want to offboard.

  2. Offboarding team members

    • Offboarding a team member

      1. Select the three-dot menu ••• on their row, then Offboard team member.

      2. Set their last day of work.

      3. Choose whether they started work or never officially started.

      4. Based on your experience, specify if they are rehireable.

      5. Indicate if you would recommend them for rehire based on your experience.

        • If yes: Select their strengths from the available tags and add an offboard note.

        • If no: Add an offboard note explaining your decision.

    • Offboarding multiple team members

      1. Select the boxes next to the team members you want to make active.

      2. From the Bulk actions dropdown menu, select Update status to Active.

      3. Set their last day of work.

      4. (Optional) Add offboarding notes.

      5. Confirm and offboard.

Reactivate an offboarded team member

If someone has been offboarded and you want to bring them back, there are two ways to do it. Which option you use depends on whether you are using Workstream Payroll or not.

Option 1: Rehire them properly (recommended for most customers)

If you’re not using Workstream Payroll, the cleanest way to bring someone back is to rehire them as if they are a new hire. This option ensures that:

  • The new start date is tracked correctly

  • You can assign onboarding tasks

  • Records stay clean and trackable

Here's how:

  1. Re-add them as an applicant.

  2. Mark them as hired.

  3. Assign a new onboarding process.

Option 2: Mark them as Active again (required for Workstream Payroll customers)

If you're using Workstream Payroll, don't re-add the person as a new applicant. Instead, reactivate their original profile. This avoids duplicate payroll records and prevents onboarding from breaking when payroll details are re-entered.

Here's how:

  1. Go to the Offboarded tab, then find the team member’s terminated profile.

  2. Select the three-dot menu ••• and choose Mark as Active.

  3. Enter a new start date for this team member.

  4. Go to the Active tab, then find the team member.

💡 Onboarding guidance:

If the team member completed an onboarding process in the past, you can click to view the completed process and either restart it or assign a different one.

If the team member never completed onboarding, help them update their information and assign the required documents to sign.

Manage active team members

The Active tab on the Team page shows all team members who are currently employed and ready to work. When someone finishes all their onboarding tasks, their status automatically changes to Active. This means they’re fully set up and can start working right away.

A: Action Required

Use the Action Required filter to quickly spot and fix issues with your active team members. These issues may affect payroll, compliance, or team member records, so it’s important to resolve them as soon as possible.

Here are the types of issues you might see:

🔴 Immediate action required

Fix these right away to avoid payroll delays or compliance risks:

  • Payroll setup required

  • Missing job and earnings

  • Expired form I-9 docs

⚠️ Attention needed

Review and update these soon to keep your team data accurate and up to date:

  • Expiring form I-9 docs within 90 days

  • Missing team member details

  • Duplicate records in list

B: Search & Filters

  • Search bar: Look up team members by name, email, or phone number.

  • Filters: Narrow by location, job title, or start date range.

C: Team Management Options (•••)

  • My team only: Show only team members assigned to your location or role.

  • Export team member(s): Download team member data in .csv or .xlsx format for those in the Active status. Useful for offline access or reporting.

D: Issues Indicators

  • Shows a red (🔴) or yellow (⚠️) icon when a team member has missing or incomplete data.

  • This matches what you’ll see in the Action Required filter.

  • Click an issue to open a pop-up with more details and steps to resolve it:

E: Action Menu (•••)

Click the three-dot menu ••• on a team member’s row to:

  • Assign documents

  • View completed onboarding

  • Export summary (.csv)

  • Download document packet (.zip)

  • Offboard team member


Manage onboarding team members

When you mark an applicant as Hired, their status will automatically change to Onboarding. This means they’re starting the steps needed before they officially join your team.

You’ll find these team members in the Onboarding tab. From here, you can start their onboarding process and monitor their progress.

A: Status Overview

  • Displays the number of team members in each onboarding stage: Waiting to onboard, In progress, All (total)

  • Clicking on any status filters the table to show only those matching records.

B: Action Required

Use the Action Required filter to quickly spot and fix issues with your active team members. These issues may affect payroll, compliance, or team member records, so it’s important to resolve them as soon as possible.

E: Onboarding Progress

Shows how far each team member is in their onboarding tasks. Progress is displayed as “completed / total assigned” — for example, 2/3 means 2 out of 3 required tasks are complete.

If the progress shows 1/1 completed but a warning icon still appears, it usually means payroll onboarding is still pending. Even though the standard onboarding modules are done, payroll setup still needs to be completed.

F. Issue Indicators

  • Shows a red (🔴) or yellow (⚠️) icon when a team member has missing or incomplete data.

  • This matches what you’ll see in the Action Required filter.

  • Click an issue to open a pop-up with more details and steps to resolve it:

G: View Tasks

Takes you to the team member’s onboarding task page, where you can:

  • Review their basic information

  • See issues, and completed/pending onboarding tasks

H: Action Menu (•••)

Click the three-dot menu (•••) next to each team member to:

  • Share onboarding link

  • Stop onboarding process

  • Change onboarding process

  • Export onboarding summary (.csv)

  • Download document packet (.zip)

  • Mark as active member

  • Offboard team member


Manage offboarded team members

The Offboarded tab provides a historical view of all team members who are no longer active. It’s useful for tracking past team members, managing rehire eligibility, and exporting documentation for records or audits.

A: Search Bar

Use the search bar to find team members by name, email, or phone number.

B: Team Management Options (•••)

  • My team only: Show only team members assigned to your location or role.

  • Export team member(s): Download team member data in .csv or .xlsx format for those in the Offboarded status. Useful for offline access or reporting.

C: Rehire Eligibility

  • This column shows whether a former team member is eligible for rehire or not.-- (blank) if no status was set.

  • The rehire eligibility status is set during offboarding, when managers are asked if the person can be rehired in the future. You can update this by opening the team member’s profile and editing their eligibility details:

D: Action Menu (•••)

Click the three-dot menu (•••) next to each team member to:

  • Export summary (.csv)

  • Download document packet (.zip)

  • Mark as Active
