Send messages to applicants using the Messages tab

The Messages tab serves as your central inbox for all applicant communication.

Workstream messaging lets you review replies, send invites or follow-ups, update applicant status, and archive conversations.

📌 Once an applicant is hired, they automatically move to the Team members tab in the SMS messages widget.


📍 Go to Team View, then select Messages to open your inbox.


Filter and open conversations

Filter your inbox

💡 Filter by the Application stage to review new applicants first.

Here's how to narrow your inbox view:

  1. Select the filter icon above the message list

  2. Filter by:

    • Position

    • Stage

    • Status

    • Archived conversations

Open a message thread

  1. Select an applicant's name to open their message thread.

  2. Review messages from:

    • The system (e.g., application updates)

    • The applicant

    • Your team


Send a message to an applicant

You can send a quick reply or use the full editor for formatting and personalization.

Send a quick reply

  1. Select an applicant.

  2. Use the message box at the bottom of the thread.

  3. Type your reply and select Send.

Send a formatted message

  1. Select New message, then choose the applicant’s name.

  2. Select Full text editor below the message box.

  3. Add a subject line (for emails only).

  4. Format your message and personalize using predefined merge tags (e.g., {{applicant_first_name}}).

  5. Choose to send via Email, SMS, or both.

  6. Select Preview message, then select Send.


Send a message to multiple applicants

⚠️ Bulk messaging is only available in the Applicants tab, not the Messages tab.

  1. Go to Team View, then Applicants.

  2. Find the applicants in the Applicants, Interviews, or Offers and hires tab.

  3. Select the checkboxes next to the applicants you want to message.

  4. Open the Actions menu, then select Send SMS or Send Email.

  5. Add a subject line (for emails only).

  6. Format your message and insert predefined merge tags.

  7. Select Preview message, then select Send.

Manage applicants from the message thread

Action buttons are available in the top-right corner of every conversation. You can:

  1. View the applicant’s profile

    • Select the arrow next to the applicant’s name in the message thread to open their profile

  2. Archive the conversation

    • Remove the conversation from your inbox

    • Keep the applicant and their details intact

    • View archived messages by toggling Show archived conversations in the filter panel

  3. Reject the applicant

    • Mark the applicant as not moving forward

    • Send a rejection message

    • View rejected applicants using filters

  4. Move the applicant to a different stage

    • Select a new stage to advance or update the applicant’s progress

  5. Use additional actions (••• menu)

    • Mark as hired – Confirm the applicant was selected for the role

    • Mark as complete – Finish the applicant’s process (you may be prompted to reject or move to another stage)

    • Mark as no-show – Note that the applicant missed their interview

    • Move to another position – Transfer the applicant to a different job posting

    • Add note – Leave an internal-only comment for your team

    • Share applicant – Generate a PDF or send the applicant’s details via email

    • Print applicant – Download and print their application details
