Understand how custom reports work in Omni

Analytics — learn the key terms and how creating, saving, and publishing custom reports works.

Omni is where you view and build reports in Workstream. You can open ready-made built-in reports or create your own custom reports by choosing exactly the data you want to see.

This article explains how reports are organized, the key terms you'll see in the report editor, and how drafts and publishing work.

📌 Access needed: To view and create custom reports, your role needs the Edit Custom Reports permission. To copy a payroll report, you also need payroll report access under the Payroll management permission. If you don't see Reports under Analytics, contact your Super Admin.


Where to find your reports

Go to Analytics › Reports. Reports are split into two tabs:

  • Built-in reports — Ready-made reports from Workstream. You can filter and drill into the data, but you can't edit these reports.

  • Custom reports — Reports your company creates and edits.

On the Custom reports tab, reports are grouped into sections:

  • Pinned reports — Reports that have been pinned for quick access. This section only appears when there are pinned reports.

  • My reports — Custom reports you created.

  • All reports — Every custom report in your company that you have access to.

Ways to create a custom report

On the Custom reports tab, select + Create new to see two options:

  • Create from scratch — Start with a blank report and choose your own data.

  • Browse reports — Go to the Built-in reports tab, where you can copy a built-in report and edit your own version.

⚠️ Custom reports are shared with your company. Every custom report, including copies of built-in reports, is saved to your company's shared folder. Anyone in your company with access to Reports can see it.

Key terms in the report editor

When you open a custom report, the Omni report editor fills the page. These are the terms you'll see most often:

  • Workbook — The editor where you build a report by choosing the data you want to see.

  • Field picker — The list on the left side of the editor. It holds every field you can add to your report. Select a field to add it.

  • Dimension — A field that describes something, like a location or a date.

  • Measure — A field that calculates a summary, like a total or a count.

  • Tile — A single visual in your report, like a table, chart, or KPI.

The fields in the field picker are set up and maintained by Workstream. Each field is defined once, so it shows the same data in every report that uses it.


Drafts and publishing

When you edit a custom report, you work in a draft. Your draft changes save automatically as you work.

Your changes stay in the draft until you select Publish in the editor header. Publish your report when it's ready to share.

💡 Tip: If your changes don't show up in your report, make sure you selected Publish.


Frequently Asked Questions (FAQs)


​Can I edit a built-in report?

No. Built-in reports are view-only. To make your own version, copy the built-in report. The copy is saved as a custom report that you can edit.


​Who can see the custom reports I create?

Anyone in your company with access to Reports. Custom reports are saved to your company's shared folder.


​Can I make a copy of a custom report?

Not at this time. You can copy built-in reports, but not custom reports.
