Set a target headcount on a job posting

Set an optional hiring target on a job posting and Workstream will tell you when you've reached it. It then offers to unpublish the posting, which keeps your job boards fresh and your hiring data accurate.

Set an optional hiring target on a job posting, and Workstream tells you when you've reached it. It then offers to unpublish the posting, which keeps your job boards fresh and your hiring data accurate.

Before you start

šŸ“Œ Access needed: To set a target, you need the Create and edit job postings permission. To see the target-reached banner and prompt, and to unpublish from them, you need the Publish and unpublish job postings permission. If you don't have access, contact your Super Admin.

  • Setting a target is optional. A job posting works exactly as before without one.

  • Neither the banner nor the prompt applies to sponsored job postings (published postings with an active paid job board listing).

  • You'll find job postings in Team View under Hiring › Job Postings.

Set and manage a target headcount

Set a target when you create or edit a job posting

  1. Select Create job posting. To change an existing posting, open its action menu in the job postings list and select Edit job posting.

  2. On the first step, Job posting details, find How many people are you hiring? (marked optional).

  3. Enter a whole number from 1 to 10,000 (for example, 3). The field is followed by the word "hires".

  4. Finish saving the job posting as usual. To remove a target later, edit the job posting and clear the field.

If you enter anything else, you'll see "Enter a whole number greater than 0." or "Enter a whole number from 1 to 10,000." under the field.

When you edit a posting that already has hires, the form may show a note:

  • New target already met. If you've already hired enough this cycle, the form says "You've already hired 3 this cycle, so this target is met. After you save, we'll suggest unpublishing this job." This note only appears when the posting is live (and not Sponsored), the target has changed, and you have permission to publish job postings.

  • Target removed. If you clear the target, the form says "Hire counting continues in the background, but you won't get reminders to unpublish this job."

Track progress

  • In the job postings list, check the Hired / Target column. It shows hires so far, then the target (for example, 2 / 3). If no target is set, a dash is shown in place of the target. The number turns green when a live posting has met its target.

  • Open a job posting to see Hires in its header. When a target is set, it shows a progress bar and count such as "2 / 3 target". A Target reached badge appears once a live posting meets its goal. Hover over the info icon to see "Hires counted since [date]. When you republish this job, you can reset this count." — this appears once a hiring cycle exists.

What happens when you reach the target

Each time someone is hired, Workstream checks whether the posting has reached its target. This check runs after:

  • Hiring an applicant, including from the hire dialog.

  • A bulk hire completing.

  • Moving an applicant to a stage from the applicant side panel, or from the applicant actions on the applicants page.

If a target is met, you'll see:

  • A prompt. "You've hit your hiring target" shows the job posting's progress, with a line reading "[Job posting] now has [count] of [target] hires." If several postings reach their targets at once, the prompt reads "2 job postings reached their target" and lists each posting with its location and its count / target.

    • Select Unpublish job (or Unpublish 2 jobs) to take the posting(s) down. You'll see "Job posting unpublished" when it works, or "[number] job postings unpublished" when several were unpublished.

    • To leave it up, select Keep published. For Link Only postings the button is Keep as Link Only. For several postings it is Not now.

  • A banner. On the job posting's detail page, a banner says "You've hit your hiring target (3 / 3)" with an Unpublish job button. Close it with the X. It reappears when you reload the page.

Every hire at or over the target prompts again, even if you chose to keep the posting published earlier.

Republish and start a new hiring cycle

  1. Open the status control on an unpublished job posting and choose Published or Link Only.

  2. If the posting has already had a hiring cycle, the Start a new hiring cycle? dialog opens. It explains: "Choose whether to reset your hired count. Once the hiring target is reached, we'll prompt you to unpublish the job." Choose one:

    • Start a new hiring cycle: "Reset hired count to 0. Counting starts today."

    • Continue the current cycle: keeps the hires counted since the date shown.

  3. Optionally update Target headcount (optional) if you're hiring a different number this time.

  4. Select Confirm, or Cancel to leave the posting as it is.

  1. On the job postings list, select the postings you want to change.

  2. Select Change Status, then Publish or Link only. (Unpublish is in the same menu.)

  3. In the dialog, which is titled "Publish 2 job posting(s)" or "Change 2 job posting(s) to Link Only", the list shows each posting's status, location, and Hired / Target.

  4. If any selected postings are unpublished, a checkbox reads "Start a new hiring cycle for 2 unpublished job postings". Its hint reads "Resets their hired count to 0. You can update each target below." It is checked by default, and the editable target field appears only on the unpublished postings, with "Was [hired / target]" beneath it. Clear the checkbox to keep current counts and targets.

  5. Select Publish to job boards or Change to Link Only.

If every selected posting already has that status, you'll see a message such as "All selected jobs are already in Published status." and no dialog opens.

Tips

  • šŸ’” Hires are counted per hiring cycle, not across all time. Start a new cycle each time you reopen a role.

  • šŸ’” If a posting can't be unpublished, you'll see "This job posting could not be unpublished. Try again from the job postings page."

  • āš ļø Unpublishing takes the posting down. You can republish it any time.
