Use PIN Mode for Shared Time Clock

Shared Time Clock — Let workers clock in on a shared kiosk with a personal PIN instead of a photo.

Shared Time Clock now supports PIN Mode, so workers can clock in and out on a shared kiosk using a personal 4-digit PIN instead of a photo — helpful for locations without a working camera.


What's new

Choose Photo or PIN Mode per location

Managers set the clock-in method per location — Photo or PIN — one mode at a time, and can switch between them anytime from the kiosk menu. Switching modes is manager-only; workers at the kiosk can't change it.

PIN Mode covers all shift actions: start shift, start/end break, and end shift.

Workers get their PIN by email and SMS

Each worker's 4-digit PIN is system-generated and delivered by email and SMS — that's how workers retrieve it. The PIN isn't shown in the worker app.

Manage employee PINs from Settings

From Manage the Employees' PINs, managers can:

  • Show or hide an individual PIN, or show/hide all PINs at once

  • Resend a PIN with Send Again

  • Filter the list by location, primary job, or PIN status

Manager exit PIN is separate from worker PINs

The 6-digit PIN under Settings → Time Schedule Settings → Shared Time Clock only unlocks the manager dashboard when exiting kiosk mode. Workers never use it, and it's not a clock-in PIN.

Can workers pick their own PIN?

No. PINs are system-generated and manager-controlled.

Does PIN Mode turn off photo clock-in?

Yes. A manager can switch between Photo and PIN Mode in Shared Time Clock settings.

Is the PIN the same across locations?

Yes. Each worker's PIN is global and stays the same across locations.

What happens after a wrong PIN?

There's no lockout — the kiosk just re-prompts. The worker can check their PIN via email or SMS, or ask a manager to resend it.

Can we see who clocked in by PIN?

Yes. Managers can see who clocked in on the Timesheets page.
