Set up geofencing and long shift warnings

Set up geofence and long shift flags in Time & Scheduling to track clock-in locations and monitor overtime risks.

Workstream lets you add flags to monitor team member shifts for compliance and efficiency.

  • Geofence Strictness: Set the distance team members must be from their designated location to clock in/out (e.g., 10 feet). This ensures they are on-site when they start their shift

  • Long Shift Warnings: If team members frequently exceed 8-hour shifts, adjust the shift duration threshold (e.g., set a flag for shifts that are 7 hours 59 minutes or longer)


Set up geofencing and long shift warnings

  1. Access Time and Scheduling settings

    1. Go to Team View, then select Time and Scheduling.

    2. Go to ⚙️ Settings.

    3. Select Time and Scheduling.

    4. Go to the Flags section, then select Edit.

  2. Activate geofencing

    1. Enable the Clock in/out location too far from the store Flag.

    2. Set the threshold distance (e.g., 250 feet). If a team member clocks in or out beyond this range, the system will flag the shift.

  3. Activate shift monitoring

    1. Enable the Long Shift Flag.

    2. Set the shift length threshold (e.g., 8 hours). If a team member works 8 or more hours, the system will flag the shift.

  4. Select Save to apply the changes.

Get your exact workplace location

If you’ve turned on Geofencing and your team gets errors like “too far from the workplace” when clocking in or out, the problem might be the pin location on the map. Even if the address is correct, Google Maps can place the red pin slightly off from the actual building. This causes the system to think your team is outside the allowed area.

To fix this, send your exact Plus Code or coordinates from Google Maps to your Workstream point of contact. This lets us check and update the pin so it matches your most accurate workplace spot.

On your phone (Android or iPhone)

  1. Open the Google Maps app.

  2. Do one of the following:

    • If you’re at the location, tap the blue dot 🔵 (this marks where you are).

    • If you're not at the location, you can search for the address, or drag the map then press and hold to drop a red pin.

  3. A panel will slide up from the bottom of the screen. Scroll down until you see:

    • Plus Code (it looks something like: PWH8+56 San Francisco, California).

    • Coordinates (a pair of numbers like: 37.7824746, -122.4105876).

  4. Copy both, or take a screenshot.

  5. Share them with your Workstream POC so we can check and update the pin.

On your computer

  1. Do one of the following:

    • If you’re at the location, click the blue dot 🔵.

    • If you’re not at the location, search for the address then click the exact spot to drop a gray pin.

  2. You’ll see a box pop up at the bottom with the coordinates (a pair of numbers like: 37.7824746, -122.4105876).

    On the left side panel, you’ll also see the Plus Code (it looks something like: PWH8+56 San Francisco, California).

  3. Copy both, or take a screenshot.

  4. Share them with your Workstream POC so we can check and update the pin.
