Use Shared Time Clock

Set up and launch Shared Time Clock to let your team clock in, take breaks, and clock out from a shared kiosk device in the Worker Hub.

Shared Time Clock lets managers turn a shared laptop, desktop, or tablet into a centralized kiosk so employees can clock in, take breaks, and clock out from a single device β€” instead of requiring everyone to use their personal phones.

Once Shared Time Clock is active, the kiosk displays a live interface where employees can search for their name, view their shift details, and perform all time clock actions. Managers can review all clock activity under the Timesheets tab.

πŸ“Œ Access needed: To launch Shared Time Clock, you must have the Manage Schedules permission enabled. If you don't have access, contact your Super Admin.


Find and manage your PIN

Your PIN is what protects your manager dashboard while the kiosk is running. Before launching Shared Time Clock, make sure you know your PIN β€” and know how to change it if needed.

  1. From the left sidebar, go to Settings β†’ Time and Scheduling.

  2. Scroll down to the Shared Time Clock section. Your PIN is displayed as masked (******) by default.

  3. Select Edit to open the PIN panel. Here you can view your current PIN (tap the eye icon to reveal it) or select Change PIN to set a new one.

⚠️ Keep your PIN secure: Your PIN locks and unlocks your manager dashboard. The panel reminds you: "To protect others from accessing your private information, we lock your manager dashboard after starting Shared Time Clock. When you exit Shared Time Clock later, you will be required to enter this PIN to access your manager dashboard." Never share your PIN with employees.


Launch Shared Time Clock

  1. On the shared device, open the Worker Hub and sign in with the manager account.

  2. From the left sidebar, select Shared Time Clock.

  3. A Launch Shared Time Clock? confirmation modal will appear, displaying your pre-set 6-digit PIN (masked by default). Your personal account will stay signed in but won't be visible while the kiosk is active.

  4. Select Launch Shared Time Clock to activate the kiosk.

⚠️ PIN security reminder: Your PIN gives access to your manager dashboard. Do not share it with employees. A Log out instead option is also available if you need to fully sign out of the device.


Navigate the kiosk interface

Once Shared Time Clock is launched, the device displays the kiosk screen. Here's what managers and employees will see:

  • Location name and real-time clock β€” Displayed at the top left of the screen.

  • Employee search bar β€” Centered at the top. Employees type their name to find themselves.

  • Left panel β€” Shows On shift and Not on shift employee counts with names listed below each.

  • Right panel β€” Clock in or out β€” Lists employees with upcoming or overdue shifts, including late indicators.

  • Right panel β€” Breaks β€” Lists employees currently on a break, with the break name and elapsed time.

πŸ’‘ The kiosk requires camera access to capture a verification photo at each clock action. If camera permissions are not enabled, a banner will appear at the top prompting you to enable them in your device settings. Employees can still clock in using Clock out without selfie if the camera is unavailable.


Employee clock-in experience

  1. The employee types their name in the Search for your name bar. Matching names appear in a dropdown β€” the employee selects their name.

  2. Their profile opens showing their name, job title, shift status, and a timeline on the left panel with their scheduled Clock in time, any break windows, and Clock out time.

  3. The employee selects one of the following:

    • Clock in now β€” For a scheduled shift.

    • Start unscheduled shift β€” For ad-hoc work. The employee will be prompted to select a role and job before beginning.

  4. A confirmation screen appears: "You're clocked in! πŸŽ‰ Have a great shift, [Name]!" with a green checkmark. The kiosk then returns to the main screen automatically.


Employee break experience

Once clocked in, an employee can start and end breaks directly from the kiosk. The left panel shows the shift timeline updating in real time β€” Clock in (with a green checkmark), any completed breaks, and Clock out.

Starting a break

  1. The employee searches for their name and selects it from the dropdown.

  2. On their profile screen, they see the status On shift with an active shift timer, and an + Add an additional break link in the timeline. The main action available is End shift early.

  3. The employee selects + Add an additional break and chooses a break type:
    ​ Paid break β€” Counts toward paid work time.
    ​ Unpaid break β€” Does not count toward paid work time. The timeline will label it as unpaid.

  4. The status updates to On break and the screen shows "Enjoy your break!" with an End break button. A Forgot to end your break? Edit your break end time link is also available.

Ending a break

  1. The employee searches for their name and selects it.

  2. Their profile shows status On break with the elapsed break time, and the End break button.

  3. The employee selects End break. The break is recorded in the timeline and the status returns to On shift.

πŸ’‘ Employees can take multiple breaks during a shift. Each break is logged separately in the timeline and visible to managers under Timesheets.


Employee clock-out experience

  1. The employee searches for their name and selects it from the dropdown.

  2. Their profile shows status On shift with the active timer and an End shift button.

  3. The employee selects End shift. A confirmation modal appears: "End shift? Are you sure you want to end your shift?" with Cancel and End shift buttons.

  4. The employee selects End shift. If camera permissions are enabled, a selfie is captured. If not, the option Clock out without selfie appears instead.

  5. The clock-out is recorded and the kiosk returns to the main screen.


Exit Shared Time Clock

  1. From the kiosk screen, select the X button in the top-right corner.

  2. An Exit Shared Time Clock modal appears with a numeric keypad and a warning: "Your PIN gives access to your manager dashboard. Do not share it with anyone."

  3. Enter your 6-digit PIN using the keypad to confirm and return to your manager dashboard.

    • To sign out completely instead, select Log out instead at the bottom of the modal.


Review clock-in and clock-out records

All clock activity recorded through the kiosk β€” including breaks β€” is saved to the team's timesheets.

  1. Go to Team View, then select Time and Scheduling.

  2. Select the Timesheets tab.

  3. Review clock-in/out times, break records, photo captures, and any flagged shifts as needed.

Frequently Asked Questions (FAQs)

Q: Where do I find or change my PIN?

A: Go to Settings β†’ Time and Scheduling and scroll to the Shared Time Clock section. Select Edit to view your current PIN or select Change PIN to update it.

Q: Do employees need their own Workstream account to use the kiosk?

A: No. Employees simply type their name in the search bar. No individual login is required on the shared device.

Q: Can employees still use their personal phone to clock in if their workplace has Shared Time Clock?

A: Yes. Shared Time Clock is an additional option, not a replacement. Employees can still clock in, take breaks, and clock out from their personal Workstream US app even if their workplace has a Shared Time Clock kiosk set up.

Q: What's the difference between a paid and unpaid break?

A: A paid break counts toward the employee's compensated work time. An unpaid break does not. Both are recorded in the shift timeline and visible in Timesheets. The break type is labeled in the timeline.

Q: What happens if an employee's name doesn't appear on the kiosk?

A: The employee may not be assigned to that location. Check their profile in the Team tab and confirm the correct location is assigned.

Q: Can I use Shared Time Clock on any device?

A: Yes. Shared Time Clock works on any shared laptop, desktop browser, or tablet via the Worker Hub. We recommend a device with a camera enabled, kept stationary at your location for easy team access.

Q: Is the manager account secure while Shared Time Clock is active?

A: Yes. The manager's account stays signed in but is completely hidden behind the kiosk interface. Employees cannot access the manager dashboard without the 6-digit PIN.

Q: What should I do if camera permissions are blocked?

A: A banner will appear at the top of the kiosk screen. Select Open Settings to go directly to your browser or device camera settings and enable access. Employees can also select Clock out without selfie to complete their clock-out if the camera is unavailable.
