Work with built-in and custom reports in Analytics

Workstream's Analytics area gives you ready-made reports across every part of your account, plus the ability to build and share your own custom reports with your team.

Before you start:

📌 You need the Create and edit custom reports permission to open the Reports page at all — if you don't see it, reach out to your Super Admin.

📌 Some built-in reports are limited to the categories your account has access to. Payroll reports additionally require the Access to reports, dashboards, and analytics permission (listed under Payroll management in your roles).

Steps:

  1. From the sidebar in Team View, open Analytics, then select Reports.

2. At the top of the Reports page you'll see two tabs: Built-in reports and Custom reports.

3. On Built-in reports, browse by category (such as Benefits, Compensation, Compliance, Employee, Hiring, Payroll, Tax, Time & Attendance, and Usage) using the category list on the left, or use the search bar to find a report by name. If you've pinned any reports, they appear first in a Pinned reports row — select the pin icon on any report card to add or remove it from this row.

4. Select a report card to open it. Depending on the report, you can apply filters (like pay date or entity) directly on the report.

5. To keep your own editable version of a built-in report, select Make a Copy at the top of the report. Name your copy and select Make a Copy again to confirm — a confirmation screen lets you select Open Report to jump straight to your new copy, which is saved to the Custom reports tab and shared with everyone in your company who has Reports access.

📌 Note: the Make a Copy button isn't available on every report — for example, the General Ledger/Journal Entry Export report can't be copied because its account-code settings don't carry over to a copy.

6. To build a report from the ground up, go to Custom reports and select Create new, then choose Create from scratch. Name your report and select Continue to open it in the report editor, where you can add your own views using your company's data.

7. Alternatively, from the same Create new menu, choose Browse reports to jump to Built-in reports and duplicate one to edit your own copy — this is the same path as step 5, just reached from the Custom reports tab.

8. On the Custom reports tab, your reports and your teammates' reports are split into My reports and All reports, with a pinned-reports row above them when applicable. Use the search bar to filter by report name, description, or owner.

💡 Custom reports live in a shared company folder — once created, any report under Custom reports is visible to everyone in your company who has the Create and edit custom reports permission, not just the person who created it.

📌 Unlike built-in reports, custom reports can't be duplicated from within the Custom reports tab — there's no Make a Copy option on a custom report. If you want a variation of an existing custom report, you'll need to rebuild it from scratch or duplicate the built-in report it was originally based on.

💡 Copying a Payroll-category built-in report requires the Access to reports, dashboards, and analytics permission; Hiring-category built-in reports can be copied by anyone with Reports access, without that additional permission.

📌 If your account previously used the older Hiring Reports builder, that experience is being phased out. Hiring-specific reports (like the Applicant Report, Hiring Report, and Staff Activity Report) now live under Built-in reports → Hiring.
