Set a custom meeting length for an interview stage

Hiring processes — Set how long interviews last in a scheduling stage, using presets, 5-minute steps or your own length.

Learn how to set exactly how long an interview or meeting lasts when you add a scheduling stage to a hiring process. You can pick a quick preset, step up and down in 5-minute increments, or type your own length.

Before you start

📌 Access needed: To add or edit stages in a hiring process, you need the Create and edit hiring process templates permission. If you don't have access, contact your Super Admin.

Set or change the meeting length

Set the length when adding a new scheduling stage

  1. Switch to Admin View, then select Hiring › Hiring Processes.

The Hiring Processes page, where you create or open a hiring process

  2. Create a new hiring process or open an existing one to edit.

  3. Select Add new stage.

  4. On Choose stage type, select Scheduling stage.

  5. On Enter information, name your stage (the stage needs a name), then select Add.

  6. Next to Specify meeting length, set the length in minutes in any of these ways:

    • Select a preset chip: 15 min, 30 min, 45 min, 60 min, 90 min, or 120 min.

    • Select the minus or plus button to go down or up by 5 minutes. The up and down arrow keys do the same while the field is selected.

    • Type a number of minutes directly into the field.

  7. Fill in the rest of the screen: Specify meeting type, Who can complete this interview? (at least one person or role is required), and Add meeting details.

  8. Select Add stage.

Change the length on an existing stage

  1. In Admin View, select Hiring › Hiring Processes and open the hiring process.

  2. Open the scheduling stage and go to its Availability tab. Under Default meeting, you'll see Meeting time, Meeting type, Interview lead, and Meeting details.

  3. Select the pencil icon on that meeting.

  4. In Update meeting details, change Specify meeting length the same way as above, then select Save.

If you've added Location specific meeting details, each one has its own pencil icon and its own meeting length.

How the length field behaves

  • Lengths run from 5 to 120 minutes, in 5-minute steps.

  • Typing a number that isn't a multiple of 5 rounds it to the nearest 5, and you'll see a note such as "Rounded to 30 min — lengths go in 5-min steps."

  • Typing more than 120 sets it to 120 and shows "Max is 120 min." Typing less than 5 sets it to 5 and shows "Min is 5 min."

  • For lengths of 60 minutes or more, the field also shows the length in hours, for example "= 1 hr 30 min."

  • If you clear the field, you'll see "Enter a meeting length." The Add stage or Save button stays unavailable until you enter a value.

Tips

  • 💡 A new scheduling stage starts at 30 minutes.

  • 💡 The suggested text in Add meeting details mentions the meeting length (for example, "This will be a 30 minute phone interview…"). It updates when you change the length or meeting type, but only while you haven't edited that text yourself. Once you've written your own details, they're left as is.

  • ⚠️ Meeting details have a 2,010-character limit, and the button stays unavailable if you go over it.
