This article walks you through setting up a data export template in Admin View under Company Settings › Data Exports.
You’ll learn how to name your template, select automation triggers like onboarding completion or applicant hire, set a schedule (daily or weekly), define file naming conventions, and configure export fields including standard, custom, and predefined options.
It also covers editing field names, mapping values, setting date formats, and downloading a test file before saving or publishing the template.
Create an export template
In Admin View, go to Company Settings › Data Exports and select Create export template.
📌 If no templates exist, go to the Export templates tab and select Create an export template link.
On the Create export template panel:
Export template details
(Required) Name the template and optionally add a description
Note: Export file name is not the export template name.
Choose from two event triggers:
When onboarding is marked as complete: Adds employee data upon onboarding completion.
Note: Requires the Onboarding product.
When applicant is marked as hired: Adds employee data once marked hired.
Schedule section
(Required) Choose schedule frequency. Options:
Every day: Select multiple time slots and time zones.
Every week: Choose specific days, times, and time zones.
Export file details
(Required) Set a naming convention. You may include date & time.
Note: File names must use letters, numbers, underscores, or dashes. Check format compatibility with your downstream system.
Click Next to move on to configuring the Export template fields
Configure the export template fields
On the final part of the Create export template panel, left-hand side panels contain Add standard fields, custom fields, and predefined fields:

Use the search bar or expand categories to add a field.
Selected fields appear in the main table section.
Add custom fields
Add Custom fields for non-standard data.
Note: To edit, go to Company Settings › Custom Fields.
Add predefined fields
Use for columns needing fixed or empty values.
Add Predefined fields as static column headers.
Main table section allows you to configure export file content:
Rearrange fields by dragging to your preferred order.
Rename fields as needed for your system.
If a field has dropdown values, use Mapping to adjust them.
For date fields, choose between YYYY-MM-DD, MM/DD/YYYY, or YYYYMMDD.
To remove a field, click the three-dot menu (•••) and select Delete (you can re-add it later).
Preview your export file
Select Download to generate a sample CSV file using actual data.
Save your export template
Click Save to either save as a draft or select save and schedule to activate based on your chosen schedule.
Edit or delete an export template
📌 Deleting templates will stop any upcoming exports using that particular template however, any past export files will remain available.
To edit a template,
Go to Company Settings › Data Exports.
In the Export templates tab, click on the three-dot menu (•••) then choose Edit template.
Feel free to perform the edits you wish to make in the template.
To delete a template,
Click on the three-dot menu (•••) then choose Delete. A pop-up menu should appear asking you to confirm.
Click Delete if the decision is final.
