Connect and manage your Google Calendar

Learn how to connect your Google Calendar with Workstream to sync interviews and manage your schedule.

Updated over 3 months ago

Workstream now automatically syncs all-day events from your Google Calendar, so your availability is always up to date. Only events marked as “Busy” or “Out of Office” will block interview times—events marked as “Free” won’t affect your availability, allowing applicants to book during those slots.

By connecting your Google Calendar with Workstream, you can view all your schedules in one place.

📌 You can connect multiple calendars at once, allowing you to link both your Outlook Calendar and Google Calendar. This ensures that interviews will only be scheduled when you're truly available, helping to avoid conflicts.

Connecting your Google Calendar account.

Connect your Google Calendar

  1. Select your profile at the top-right corner.

  2. Select Account settings.

  3. Select Sign in with Google, then sign in to your account.

  4. Review what Workstream can access on your Google account, then select Continue.

Set up your calendar settings

  1. Reload Workstream’s page. Press F5 on your keyboard, or select refresh at the top of your browser window.

  2. Scroll down on the Scheduling tab. If you've added your team members' calendars to Google Calendar, just pick whose calendar you want to see on your Workstream schedule. Go to Displayed Calendars and select the calendar you want to show.

  3. (Optional) Turn on Conflict Avoidance to make sure you don't schedule two events at the same time.

  4. Turn on Sync to Google Calendar to add confirmed interviews to your Google Calendar.

💡 Learn more about Conflict Avoidance

  • When you turn on Conflict Avoidance, applicants can’t schedule interviews on your time slots

  • If you already have a scheduled time slot, and something is scheduled on Google Calendar, the event and time slot will still be there and active

  • If applicants can still schedule interviews on blocked days in your Google Calendar, it's because you need to set a specific start and end time for those blocks

  • To avoid scheduling problems, simply create an event for the day and specify the time range

Check Google Calendar

  1. Go to your Google Calendar account.

Note: You should see the new Workstream Calendar. If you don’t, reload Google Calendar.

Refresh your connection with Google Calendar

If your Workstream interviews aren't appearing in Google Calendar or you're experiencing sync issues, try disconnecting and reconnecting the integration to reset the connection.

  1. Disconnect Workstream from your Google account (follow the steps outlined in the "How do I remove third-party access to my Google Account?" section).

  2. Reconnect to Google Calendar.
