Q: Why does Workstream need access to my calendar?
A: Whether you're using Google or Outlook, calendar permissions are needed so Workstream can sync your events and keep your availability up to date. This lets us automatically reflect events you’ve scheduled (like meetings, days off, or other commitments) so we don’t double-book your time when applicants are scheduling interviews.

Without the needed permissions, Workstream won’t be able to read your availability or sync interview events to your calendar.

Q: Does Workstream create events in my Outlook or Google Calendar?
A: Yes, but only for interviews. When you schedule an interview in Workstream, the event automatically appears in your connected calendar, but it won’t come through as a formal calendar invite.

That means you won’t get an email or a request to accept or decline the event. The sync happens quietly in the background, so it simply shows up in your calendar without any extra steps.

Q: Do I have to allow full access for syncing to work?
A: Yes. Calendar syncing requires full access so Workstream can continuously check your availability and keep schedules aligned. Workstream doesn't use this access for anything outside of syncing your availability and events.

Q: Will Workstream see my personal events?
A: Yes, but only to check your availability. Workstream checks whether you're marked as "Busy" or "Free" in your connected calendar to help avoid conflicts when interviews are scheduled.

Event titles, descriptions, and details are not shared with anyone. The access is used solely for syncing purposes and remains private.

Q: Can I revoke calendar access?
A: Absolutely. You can remove access anytime from your Google or Microsoft account settings. Once you do, Workstream will stop syncing with your calendar.

Q: Can I connect both a Google Calendar and an Outlook Calendar at the same time?
A: Yes. You can connect one Google account and one Outlook account at the same time. Events from both will sync with Workstream as long as each calendar’s sync settings are properly set up.

Q: Can I sync Workstream interviews to more than one calendar in Google or Outlook?
A: No. For each connected account, you can select only one calendar to sync Workstream interviews to. This means:

  • If you connect your Google account, interviews will sync to either your main calendar or the Workstream Calendar (created by Workstream)—but not both.

  • The same applies to Outlook; you choose one calendar within your account to receive interview events.

Even if you have multiple calendars in Google or Outlook, Workstream will send interview events only to the calendar selected in your “Synced Calendar” setting.

Q: My interview shows up in Outlook but not in Google (or the other way around). Why?
A: You’ve probably only set up sync for one calendar. Here’s what to check:

  1. Go to Workstream.

  2. Select your Profile icon in the top-right corner, then select Account settings.

  3. In the Scheduling tab, under Sync to Calendar, make sure both Google and Outlook toggles are turned ON.

  4. In Synced Calendar, check that you picked the right calendar for each platform (ex: “Workstream Calendar” or your main calendar).

  5. Go to Google or Outlook, and on the left side under "My calendars," make sure your chosen calendar is checked. That’s what makes events actually show.

Q: Can I edit or reschedule a Workstream interview from Google or Outlook?
A: No. While Workstream syncs changes from Google or Outlook for most events, this doesn’t apply to interviews. If you edit the interview directly in Google or Outlook, the changes won’t sync back to Workstream. That means the applicant won’t be notified of the change, and your scheduling in Workstream will be out of sync.

To avoid confusion or missed interviews, always reschedule directly in Workstream. The change will then sync back to Google or Outlook.

Q: I unchecked the Workstream Calendar in Google/Outlook. Did I lose my interviews?
A: No, your interviews are still there; the calendar is just hidden. Re-check it under “My Calendars” and your interviews will show up again.

Q: I picked the wrong calendar. Can I change it?
A: Yes. Go to your Scheduling Settings in Workstream and update the Synced Calendar. You’ll see two options:

  • Workstream Calendar (automatically created by Workstream)

  • Your personal calendar (shown as your email or just “Calendar,” depending on your provider)

New interviews will follow whichever calendar you choose.

Q: What happens if I rename the Workstream Calendar in Google or Outlook?
A: That’s fine. Workstream will still recognize the calendar and sync to it. The new name will also show up inside Workstream under Displayed Calendars in your settings, but the calendar name won’t change inside the main Scheduling Calendar view.

Q: If I disconnect my calendar, will I lose my interviews?
A: No, all your interviews stay in Workstream. Disconnecting just stops the sync, so your calendar (Google or Outlook) will no longer show those events. If you reconnect your calendar later, future interviews will start syncing again.

Q: Can I edit my Google or Outlook calendar events directly from Workstream?
A: No. You can’t edit Google or Outlook events inside Workstream.
